VFS Global — the world's largest visa and passport outsourcing company, serving 70 governments across 3,300+ application centres globally — came to Refuge Events with a challenge that had nothing to do with visas: bring their Delhi workforce together in a single day of high-energy competition, camaraderie and sport.
The VFS Global Futsal Cup 2023 was a full-scale corporate futsal tournament staged in New Delhi, uniting inter-department teams from across VFS Global's Delhi NCR operations for a day of competitive 5-a-side football. The brief was equal parts sporting event and employee engagement experience — structured enough to be taken seriously, spirited enough to be genuinely remembered. Refuge Events designed and delivered every element, from pitch setup and referee coordination to team kits, trophies and the closing awards ceremony.

Cross-Department Mobilisation
Coordinating participation across multiple VFS Global departments and office locations in Delhi NCR — each with different shift patterns, seniority levels and varying degrees of sporting experience.
Tournament Structure & Flow
Designing a competitive yet inclusive tournament format — group stages, knockouts, third-place play-off and a final — that kept all teams engaged from first whistle to trophy lift, with zero dead time.
Brand & Experience Standards
VFS Global's global reputation demanded a polished, professional event feel — branded environments, matching team kits, proper refereeing and a closing ceremony worthy of the company's standing.

We approached this project understanding that a great corporate sports day is never just about sport. Every decision we made — from the draw ceremony format to the trophy design — was made through that lens.
Tournament Design & Seeding
Structured the full-day tournament across group stage, semi-finals and a grand final — with balanced team seedings to ensure competitive matches at every stage and maximum playing time for all participants.
Venue Sourcing & Pitch Setup
Sourced a premium indoor futsal facility in Delhi NCR and transformed it with full VFS Global branding — perimeter boards, team dugouts, branded backdrops and a match-day atmosphere that felt genuinely professional.
Team Kits & Event Merchandise
Designed and produced custom team kits for all competing sides, along with event-branded merchandise — lanyards, drawstring bags and water bottles — ensuring every participant felt part of something special from the moment they arrived.
Match-Day Operations & Refereeing
Deployed a dedicated on-ground team managing live match scheduling, professional refereeing, real-time scoreboard updates and crowd management — keeping the tournament running precisely on time across all fixtures.
Awards Ceremony & Closing Experience
Produced a properly staged closing ceremony — podium, trophies, medals, individual awards (Golden Boot, Best Goalkeeper, Player of the Tournament) and a group celebration that gave the day a fitting, memorable finale.
